How CondoKnow finds and checks building records

CondoKnow makes official condo building information easier to find and understand. We show what the source says, when the underlying record was created or recorded, and when it entered CondoKnow.

We do not rate buildings, assign risk scores or make safety conclusions.

Methodology last updated: November 1, 2026

Independent

CondoKnow is independent. No advertising, listings, commissions or brokerage relationships affect the factual record. CondoKnow was founded by Cass Riese, a licensed Florida Realtor. The factual record is independent of any brokerage relationship.

Where our information comes from

CondoKnow uses public and official sources. The source depends on the type of information shown. Every record identifies its source, and every public negative finding is tied to the date of the last successful source check.

SourceWhat we use it for
Florida DBPR — Division of Condominiums, Timeshares and Mobile Homes Condominium identity and state reporting, including available SIRS-related reporting.
Florida Division of Corporations — Sunbiz Association and corporate identity, officers and entity records.
Palm Beach County Property Appraiser Parcel and property identity used to help match the correct building.
Broward County Property Appraiser Parcel and property identity used to help match the correct building.
Miami-Dade County Property Appraiser Parcel and property identity used to help match the correct building.
County official records and applicable city or county building departments Recorded association-level documents, permits, milestone/engineering records and other building activity where available. The exact source is shown on each record.

The three building areas

Engineering / Milestone

We look for milestone inspection and related engineering records from the applicable city or county building department when those records are available. CondoKnow reports the factual status shown by the source, including an engineer’s finding when the record expressly provides one. We do not infer an engineering conclusion when the source does not provide one.

SIRS / Reserves

We use official condominium reporting and other lawful public sources to identify Structural Integrity Reserve Study information when available. If a SIRS record is not found, CondoKnow does not assume that a study does not exist. We show what source was checked and when.

Major Building Activity

We look for building- and association-level public records that may include major permits, amendments and certain recorded association-level legal or financial events. CondoKnow distinguishes building or association activity from individual unit-owner matters. A record affecting one unit does not automatically describe the entire building.

What the dates mean

CondoKnow separates an older record being loaded into the system from a new record being found after change detection begins. This keeps the timeline honest.

Recorded The date associated with the event or document in the source system.
Added to CondoKnow Used for existing records loaded during an initial import or historical backfill.
Detected by CondoKnow Used only when CondoKnow identifies a new record after change detection for that source is operating.
Last successful check

Every record or public “not found” statement shows the date of the last successful source check that supports it. A failed or unavailable check does not create a public negative finding.

What “Not found” means

“Not found” does not mean a document or condition does not exist. It means CondoKnow did not find the record in the sources identified as of the most recent successful check.

When possible, we show what source was checked, the date of the last successful check, and whether a source or building match could not be confirmed. If we do not know, we say so.

How we match records to a building

The same condominium may appear differently across multiple public databases. CondoKnow compares available identifying information across sources such as DBPR, Sunbiz, county property appraisers, building departments and county official records to connect a record to the correct condominium building or association.

When we cannot make a reliable match, we show Not matched rather than guessing.

What CondoKnow does not do

CondoKnow presents factual records so buyers, owners, Realtors and other professionals can decide what questions they want to ask next.

Corrections and missing information

Public records can be delayed, incomplete, changed or matched incorrectly. If you see something that appears wrong or missing, use Report an Error. CondoKnow checks the underlying source before changing the factual record.

Users and agents cannot directly edit CondoKnow building facts.

Coverage

CondoKnow is being built across South Florida, beginning with condominium buildings in Palm Beach County, Broward County and Miami-Dade County.

Some buildings may have deeper coverage than others while additional public sources are added. Where coverage is limited, CondoKnow will say so rather than imply that every possible record has been checked.

Current coverage model

The official DBPR condominium project index for Palm Beach, Broward and Miami-Dade is loaded and searchable. A DBPR project is not automatically treated as one physical building: some projects contain multiple towers, phases or buildings. CondoKnow creates a permanent building page only after an independent building-level source establishes the physical building. Until then, the official DBPR project remains searchable and uses the request/verification path rather than creating a building from inference. Highland Beach is the first corridor with building-level Town-source identities.

DBPR project vs. physical building

DBPR condominium records identify condominium projects. A project may represent one building, several buildings, or a phase within a larger complex. CondoKnow therefore keeps DBPR-only records searchable as project candidates with structure not established. A permanent physical-building page is created only after a separate building-level source confirms the structure.
